The Terumo EMEA Supply Chain department brings together the European Distribution Center, Supply Chain Planning, Customer Service and Tender Office, creating a strong cross-functional, end-to-end partnership across the region.
 
 
Within this setup, the Customer & Business Support team plays a critical role in supporting affiliates and sales teams in tender and contract-related activities. The Tender & Contract team in Poland is a key hub for public tender management, operating in a highly regulated, deadline-driven environment where accuracy and compliance are essential. The team currently consists of two experienced specialists and works closely with Sales, Customer Service, Regulatory Affairs, Legal, Finance and Procurement. Due to business growth and an increasing tender workload, the team is expanding with an additional Tender & Contract Specialist to ensure continuity, quality and sustainability of operations. 
 

Job Summary

 

As Tender & Contract Specialist, you ensure the smooth execution of public tenders and commercial agreements from preparation through submission, award and contract lifecycle management. You are the go-to expert for tender documentation, pricing accuracy and contract administration, safeguarding compliance, deadlines and data quality. In this role, precision, organization and collaboration directly impact long-term business success.
 

Job Responsibilities

 

  • Coordinate and manage public tenders from preparation to submission, award and follow-up
  • Act as the main point of contact for all tender-related matters for internal stakeholders
  • Ensure tender submissions are complete, compliant and delivered on time
  • Collaborate closely with Sales, Customer Service, Regulatory Affairs, Legal and Finance
  • Manage tender documentation, contracts and archives according to quality procedures
  • Upload, maintain and validate pricing and contract data in SAP to ensure audit readiness
  • Support contract lifecycle management including extensions, renewals and updates
  • Monitor tender awards and communicate outcomes and conditions internally
  • Resolve price discrepancies and support price dispute investigations
  • Ensure compliance with procurement rules, internal policies and J-SOX controls
  • Contribute to continuous improvement, digitalization and knowledge sharing within the team

 

Profile Description

 

  • Bachelor’s degree or equivalent experience in a commercial, legal or administrative field
  • Proven experience in public tenders is essential
  • Strong administrative and organizational skills with high attention to detail
  • Stress-resistant and able to manage multiple deadlines in a fast-paced environment
  • Comfortable working with SAP or similar ERP systems
  • Fluent in English, written and spoken
  • Experience in the medical device or healthcare sector is a strong plus
  • Strong communication skills and a collaborative mindset
  • Able to work autonomously while being a reliable team player
